Temporary Part-Time Parish Administrator 

Location: Good Shepherd Anglican Church 
Position: Parish Administrator 

15 hours per week 

$21/hour 

Roles and Responsibilities: 

The Parish Administrator is one of the public faces of the church and often a first contact for community members who reach out by phone or email. It is important to be welcoming and friendly to members of the church and neighbors alike. Each week the parish administrator takes care of the following tasks: 

  • Screening, routing and answering of phone calls and emails 
  • Includes scheduling or sending out reminder emails for scheduled volunteers or upcoming Vestry meetings 
  • Preparation and distribution of the Weekly Round Up email through Tithe.ly 
  • Prepare and schedule social media posts for Facebook and Instagram using Canva (a graphic design website), or by sharing posts from the Edmonton diocese and other sources. 
  • Update and maintain the events schedule, new posts and website pages through Tithe.ly 
  • Prepare and distribute the PowerPoint slides for Sunday services 
  • Uploading recorded services to YouTube, and if time allows adding video links to the website 
  • General filing of both printed documents and digital files/receipts/invoices 

Throughout the month the parish administrator will also be responsible for: 

  • Updating the parish contact directory and ensuring that contact information is uniform between Tithe.ly and Elvanto 
  • Preparing the volunteer roster for Sunday services and special evening/holiday services throughout the year 
  • including collecting availability from current volunteers and providing digital or printed copies of the roster to volunteers 
  • Preparation of special service bulletins, general correspondence, and document printing as directed by the Rector 
  • Coordinating with church groups to promote any upcoming fellowship and fundraising events 
  • including contacting the Diocese or Interagency Newsletter with program/event updates 
  • Managing rental and key requests for the church including:  
  • requests for parking rentals and follow up with parking renters as necessary about special events and missed payments 
  • keeping the church calendar updated to ensure there are no double bookings 
  • requesting and scheduling volunteers to provide building access to one-time renters 
  • contacting recurring rental groups about schedule changes related to special events hosted by the church 
  • maintaining annual and one-time contracts with renters. 
  • Purchasing office supplies and maintaining the printer as needed including: 
  • assisting with collecting quotes for any larger scale repairs/purchases with coordination of the People’s Warden 
  • contacting the printer company for maintenance or ink supply 
  • Maintaining the notice boards and rotating calendar in the Narthex (lobby) of the church 

Additional tasks that might arise: 

  • Connecting new volunteers with Safe Church Training Access and collecting police record checks for submission to the diocese. 
  • Assist with coordination, paperwork and fees for funerals and weddings 
  • Prepare and mail out certificates following baptisms 

This position is temporary, intended to cover a parental leave period from May 1-December 31, 2024.
